    Default Close out portal down

    Just tried closing out my 2008 grant and had to ask the help desk about how to input 19 serial numbers when that section only allows a limited amount of characters and the helper advised me there is a problem saving the information, and they don't expect it to be back up and running until March 12th. If anyone closes out a grant before then, can you post on this forum. We won't be penalized when we go over the 90 day period. (extra serial numbers can go in the narrative, and I'm glad I didn't enter 19 fourteen digit serial numbers only to find out it didn't get saved.)

    We got 23 new scba's through last years grant, had to put each serial number in seperately. Per the grant specialist that I talked to at the time, you could not put the serial numbers in the narriative. Basicly you have to fill that section out 19 times, one for each of equipment that you have that cost $5,000 or more.

    Well, if you have received 1199a's for AFG, FP&S will you get your ten questions if the closeout is not completed? Also, is there any word when the portal will be working again. Thanks!

    March 12th. You have 90 days from the end of the POP to submit the closeout report. In this case, if the computer issues are preventing you from meeting that deadline it will not be held against you.

    And here, just yesterday, I was cursing our IT section for putting "blocks" that kept me from being able to access the page properly and close-out our 2008 grant....

    My regional rep also said (unofficially) that March 12 was the target date for the closeout module to re-open. Then he added, "Were I you, I'd wait a couple more weeks to make sure nothing else breaks..."

    Mar. 12 is the same date I was given by the grant finance office, so I guess we have to wait and see. The problem I'm having with the system is that it won't give me access to the financial close-out form, which is required documentation, so I'm stuck. And, I'm waiting on 10Q's for my 2009 AFG - got the 1199 many weeks ago. I'm told that the 2008 closeout isn't holding things up, but I'm not so sure . . .

    Any of the guru's want to comments on how to handle the 19 serial numbers I have to enter. The HELP desk guy said to just add the remaining numbers I couldn't include in the serial number text box to the narrative box where there is plenty of room. rands1 in his post said he had to enter each one seperately. (The 19 air paks are over the $5000 that requires this to be done.)

    Per my regional rep and a grant specialist, you have to enter each item that is $5,000 or higher seperately. For us it met that I had to enter the information for each of our 23 SCBA's. The form is meant for only one serial number. In your case, you'll have to enter it 19 times. I know it stinks, but thats the way it has to be done.

    Most likely at audit time.....to verify the equipment exists.

    So in a mass event they will know where to get the equipment needed.If they know XYZ FD has 30 airpak's and need 15 they could call that equipment into service.

    I closed out my 2008 on Dec 18th it's still showing pending. Do I need to do anything else ?

    Default Older that 2008 closeout not done.

    I need help getting a before 2008 grant closed out so it does not kick us out of being considered for an equipment and vehicle applied for in current grant timeframe. Know now that this old grant that is not closeout by a previous grantwriter might be holding up being awarded our 2009 grants. With portal down unit May 2010 it even messes up me 2010 applications. Can I phone them before rejection letters come out?

    I would use your mail center to email them with the above question. Then keep checking until you get the closeout accepted email notification.

    Your not kidding Rob, but hee hoe lay ching gow, you got your closeout efforts acknowledged in an email. However they have a history of not informing you that the closeout is accepted. When I asked them why, they said that don't always do so and when they do it is 'courtesy' and that they are not required to notify you of its acceptance.

    I was surprised to say the least and the closeout seems to be at the bottom of things they want to have to do.

    You will not recieve an email that the closeout was submitted (I never have), but you will recieve an email that it has been accepted. You will recieve a "Final Closeout Letter" in the email. I have submitted 4 closeouts and have recieved 4 emails when accpeted.

    There is no specified time frame for the closeout to be reviewed and accepted. My longest was about 14 months after submission.

    The important thing about the closeout is that it does not need to be accepted by AFG to be eligible for future awards, just needs to be submitted.
